JOB DESCRIPTION:

Miller Refrigeration Inc., a trusted leader in the refrigeration industry, is seeking a skilled and dedicated Service Operations Coordinator to support our fast-paced service department. This role is ideal for someone with strong organizational skills, a keen eye for detail, and a collaborative mindset. Acting as a key liaison between field technicians, customers, and internal teams, the Service Operations Coordinator will manage the many moving pieces involved in small-scale service transactions, ensuring accuracy, timeliness, and customer satisfaction.

ROLE AND RESPONSIBILITIES:

  • Coordinate daily service operations by managing work orders, dispatch schedules, and technician assignments.
  • Track, monitor, and follow up on open service tickets, warranty jobs, and preventative maintenance tasks.
  • Assist the Service Manager with reporting, KPIs, and documentation to support decision-making and performance tracking.
  • Communicate effectively with technicians, vendors, and customers to ensure smooth execution of service calls and timely resolution of issues.
  • Maintain accurate service records and ensure data integrity across relevant platforms (e.g., CMMS, dispatch software, internal systems).
  • Generate and review reports related to service volume, technician performance, and job profitability.
  • Help identify process improvements to drive efficiency in service workflows.
  • Serve as a backup point of contact for customers when the Service Manager is unavailable.
  • Support billing and invoicing processes by ensuring job documentation is complete and accurate.
  • Other duties as assigned

ROLE REQUIRMENTS:

Education:

  • High School diploma or equivalent required.

Experience:

  • Minimum of 2 years experience in service coordination, project coordination, or similar operational support role; HVAC, mechanical, or construction industry experience a plus.

Skills & Competencies:

  • Highly detail-oriented with strong time management and organizational skills.
  • Strong interpersonal skills and ability to collaborate across teams and departments.
  • Proficiency in Microsoft Office Suite (especially Excel); experience with service management or dispatch software preferred.
  • Comfortable handling multiple small-scale transactions with accuracy and urgency.
  • Ability to adapt in a fast-paced, deadline-driven environment .
  • Accountable, dependable, and committed to continuous improvement.
  • Strong analytical, problem solving, and communication skills.
